Privacy Policy
This policy explains what personal information Online First Aid collects, how we use it, and the choices you have. We handle personal information in accordance with the New Zealand Privacy Act 2020 and its Information Privacy Principles.
1.Who we are
Online First Aid (onlinefirstaid.co.nz) provides online workplace first aid assessment, training and record-keeping for low-risk New Zealand workplaces. We are the agency responsible for the personal information described in this policy.
2.Information we collect
We collect information you give us and information generated as you use the Service:
- Account & workplace details — your name, business name, email, role, and details about your workplace (such as type, size and hazards) that you provide in the assessment.
- Workplace responder details — the names and email addresses you give us for the people you nominate to be trained.
- Assessment answers, training progress and results — including module completion, quiz answers, self-check responses and the outcome of the practical review.
- Communications — messages you send us and our replies.
- Payment information — processed securely by our third-party payment provider. We don’t store full card numbers.
- Technical & usage data — basic information such as device/browser type and pages used, to keep the Service working and improve it.
3.How we use it
- To provide the Service — run your assessment, deliver training, schedule and run the practical review, and generate your checklist, records and documents.
- To create and manage accounts, and to let your business administrator see the progress and results of their responders.
- To send service messages — booking confirmations, reminders, results and renewal notices.
- To take payment and keep records for accounting and legal purposes.
- To provide support, keep the Service secure, and improve our content and features.
4.Sharing your information
We do not sell your personal information. We share it only where needed to run the Service:
- With your workplace administrator — a responder’s training progress and practical-review result are visible (read-only) to the business that nominated them, and to our reviewers, so competence can be confirmed.
- Service providers — trusted third parties who help us operate, such as our hosting provider, payment processor and email/video-call tools, under obligations to protect your information.
- Legal reasons — where we’re required by law, or to protect people’s safety or our legal rights.
5.Storage & security
We take reasonable steps to protect personal information from loss, misuse and unauthorised access, using appropriate technical and organisational safeguards. Some of our providers may store data outside New Zealand; where they do, we take reasonable steps to ensure comparable protection. No system is completely secure, so we can’t guarantee absolute security.
6.How long we keep it
We keep personal information for as long as needed to provide the Service and to meet legal, accounting and record-keeping requirements — including keeping training and review records so a workplace can show what it has in place. When information is no longer needed, we securely delete or de-identify it.
7.Your rights
Under the Privacy Act 2020 you have the right to ask what personal information we hold about you and to request a correction if it’s wrong. To make a request, or to ask us to delete information where we’re not required to keep it, email contact@onlinefirstaid.co.nz. We’ll respond within the timeframes the Act requires.
8.Cookies
We use a small number of cookies and similar technologies that are necessary to keep you logged in and to make the Service work, plus basic analytics to understand how the site is used. You can control cookies through your browser settings, though turning off essential cookies may stop parts of the Service from working.
9.Children
The Service is intended for workplaces and adults. It isn’t directed at children, and we don’t knowingly collect personal information from anyone under 16.
10.Changes to this policy
We may update this policy from time to time. The “last updated” date above shows the current version, and any material change will be reflected here. Please check back occasionally.
